About the Role

We are looking for a dynamic, organized, and well-rounded Administrative & Operations Support Coordinator to join our team.

This is a unique opportunity for someone who wants to learn the business from the inside out. Rather than being limited to one department, this position will provide exposure to multiple areas of our operation, including front office administration, scheduling, care coordination, caregiver recruiting and hiring, client support, and general office operations.

The right person will be a team player who enjoys variety, learns quickly, takes initiative, and is willing to jump in wherever help is needed.

This is a great role for someone who wants to learn, grow, and become an integral part of a fast-paced senior care organization.

What You’ll Do

Front Office & Administrative Support

  • Welcome clients, families, caregivers, and visitors
  • Answer phones and respond to general inquiries
  • Assist with emails, paperwork, filing, scanning, and data entry
  • Maintain organized office records and supplies
  • Help with general administrative projects
  • Support office events, meetings, and team activities

Scheduling & Care Coordination Support

  • Learn the basics of caregiver scheduling and shift coverage
  • Assist with schedule updates and changes
  • Communicate with caregivers regarding schedules and assignments
  • Help track open shifts and staffing needs
  • Assist the care coordination team with administrative tasks
  • Help ensure information is accurately documented and communicated

Recruiting & Hiring Support

  • Learn our caregiver recruiting and hiring process
  • Assist with applicant communication and follow-up
  • Help coordinate interviews and group hiring events
  • Assist with onboarding paperwork and new-hire preparation
  • Help maintain applicant and employee records
  • Support recruiting events and community hiring initiatives

Client & Caregiver Support

  • Provide friendly, professional communication to clients, families, and caregivers
  • Help direct questions and concerns to the appropriate team member
  • Assist with follow-up calls and administrative needs
  • Help create a positive experience for the people we serve and the team members who provide care

Team & Operations Support

  • Work alongside different departments to understand how the entire office operates
  • Step in to support team members during busy periods
  • Help identify problems and find solutions
  • Take on special projects as assigned
  • Continuously learn new systems, processes, and responsibilities
